Our website uses cookies to distinguish you from other users of the website or as part of the security of this site. A cookie is a small file of letters and numbers that we put on your computer.

Any cookie we set will only contain random but unique information which is set to expire when you close the browser. The cookie does not contain any personal or sensitive information.

The cookie information can only be used by the browser when it sends requests for new web pages to our servers - the browser will not allow the cookie to be used for any other purpose. The cookie information will always be protected by strong encryption whenever the content is sent to us.

The use of these cookies are essential for the correct and secure operation of our website.
Cookies which we may set include:

  • wcn_session: This may be set for users visiting * domain. This is used to identify an authenticated user. It is set when a user logs in. If set to a valid value, then the user will not need to log in for subsequent requests.
  • Crsf-token: This may be set for users visiting * domain. It is only used as a security measure to protect the user from cross-site-request-forgery attacks. A token is issued when the server responds to a request with a new page and this token must be supplied in a cookie when the user makes a subsequent request as a result of taking action on the page.
  • idservice_session: This may be set for users visiting which is an identity provider service which allows users to have single-sign-on across multiple * domains. Use of is optional but if the option is chosen then this cookie is essential to the function of the identity provider service.

Your Personal Data:



The police force that you are applying to work for will be what’s known as the ‘controller’ of the personal data you provide to us. This will be one of the following forces - North Wales Police (NWP), South Wales Police (SWP), Dyfed Powys Police (DPP), or Gwent Police (GP)


We are utilising the services of a data processor, a company called Oleeo and a contract and data processor agreement are in place for this purpose.  Please see their Privacy Notice also.


What we need

We only collect relevant personal data about you in order to fulfil our purpose. This will include special types of information such as disability information, political opinions and criminal information.  It will also include your name, address, contact details, qualifications and training, employment experience, language preference and country of birth.


Why we need it

We need to process your personal data to allow us to recruit the most suitable candidates to enter into an employment contract with NWP, SWP, DPP or GP and to ensure we meet our legal obligations and responsibilities as an employer.


What will happen if you don’t provide your personal data?  

By providing your personal data, you allow us to process your application accordingly and to make contact with you during the recruitment process. It will also enable you to progress through the process when required to carry out assessments or tests with third party suppliers.

Should you not provide this information we would not be able to process your application and make contact with you.

What we do with it

Your information will be stored securely and will only be accessible by those authorised to do so and shared with third party suppliers who are responsible for the assessment centre and police application tests.


NWP, SWP, DPP and GP take our responsibilities regarding personal data seriously, and have relevant training, policies and procedures in place to keep personal data secure.


Information collected during the recruitment process will be transferred to an employment file for successful candidates.


Sensitive information

If you apply to us, the application process may ask you for some 'sensitive' details (see sensitive information in the force Privacy Policy and Legal Notice on forces websites). We will use this information for monitoring recruitment and the selection process and we will ask for your explicit consent. We may share the information you provide with other parts of NWP, GP, DPP, SWP to keep your employment records up to date once you become an employee of the force.

 Student Police Officers

For those candidates applying to be a student police officer, the relevant provider of higher education shall work in collaboration with NWP, SWP, DPP or GP engaging in the final stages of selection and evaluation of the academic suitability of candidates.  Your personal data will however remain on NWP, SWP, DPP and/or GP systems for this purpose.


How long we keep it

Your personal data will be held on the Oleeo system for 12 months after the end of the recruitment process, or for 6 years if the applicant fails the vetting process.  It will then be anonymised for statistical purposes.


Will this information be used to take automated decisions about you?


What are your rights?

You have the right under Data Protection legislation to request a copy of your information (subject to exemptions). For example, to know what it is used for and how it has been shared. This is called the right of subject access.

In addition to the right of access, you also have other rights, such as; the right to have inaccurate information rectified, the right to request that your personal data is erased or restricted, the right to data portability and the right to object.

Making a complaint about your personal data

You can complain directly to the Data Protection Officer for the force to which you are applying.  Details of which can be found on the force website within their privacy notice.
