What does the Personal Assistant to Chief Officer role entail?

As the Personal Assistant to Chief Officer, you’ll provide an effective and efficient service by managing the Chief Officer’s diary, making all necessary arrangements for appointments, functions, meetings, accommodation and travel both inside and outside the Force. 

You’ll also manage the Chief Officer’s correspondence so that only mail that needs to be dealt with personally is dealt with, and the remainder is sifted accordingly. This will include preparing replies and directing others to reply as appropriate, following up such queries as and when to provide an outstanding service continuously.

Other duties will include, but aren’t limited to;

  • Managing telephone calls (including personal calls) to the Chief Officers in an efficient and professional manner.
  • Attending meetings with the Chief Officer to take minutes and notes as required. This may include a verbatim record. Such meetings may take place elsewhere than at Force Headquarters.
  • Working with the relevant specialist department, prepare the requisite documents in relation to a high level employment related process eg for a Misconduct, Unsatisfactory Performance.
  • Preparing written and oral briefings for the Chief Officer involving a range of tasks as required. This will not require detailed police knowledge.
  • Maintain a range of filing systems for the Chief Officer – both electronic and paper based – including confidential systems for which formal vetting will be required.
  • Undertaking a range of word processing and presentational tasks for the Chief Officer, including correspondence, speeches and presentations in a range of formats.

What will I need to be considered for the Personal Assistant to Chief Officer role?

  • Educated to HNC/D level in an administrative/business related subject, or possess an equivalent amount of proven relevant experience.
  • Relevant qualification in Office Management or Executive Secretarial Skills (or attained experience in these areas with evidence), together with possession of advanced typing/word processing skills (ie 50-60 wpm).
  • A full accomplished PA/Secretary with proven experience at Senior Management level.
  • The ability to fully utilise modern office technology – in particular- Microsoft Office Outlook, Power Point and force computer systems.
  • Effective literacy skills to produce short reports/briefings on a variety of straightforward issues.
  • Ability to work with minimal supervision initiating responses to a range of enquiries.
  • An effective ‘team player’ working with other Personal Assistants and Staff Officers within the Chief Officer Suite to organise and prioritise work generated by the Chief Officers.
  • Highly developed inter-personal skills with the ability to build and maintain a comprehensive network of contacts inside and outside the Organisation.
  • Operate with integrity, in a professional manner and appearance, displaying enthusiasm and motivation.
  • Exercise tact and discretion and demonstrate the ability to work under pressure remaining calm and constructive.
  • The post holder may be required to work occasional unsocial hours and should have flexibility and access to reliable transport needed to meet this requirement.

The post holder will have occasional access to material of a secret, confidential and sensitive nature and accordingly will be subject of ‘security clearance’ status. The vetting procedures will involve enquiries of the applicant’s personal and private circumstances.

North Wales Police are a bilingual organisation and for this role, you’ll need to demonstrate Level 2 Spoken Welsh skills, which means you’re able to give and ask for personal details and basic information; to make simple requests and say a few phrases about yourself in Welsh.
